The Public Relations Manager is responsible for the daily contact between the agency and one or more clients. He/she handles the day-to-day administrative activities for assigned clients under the direction of the Director of Public Relations. The PR Manager is expected to become fully conversant with products/services, markets and media in which the assigned client(s) operate.

This is a service person, not a salesperson; however, he/she is encouraged to solicit new work from existing clients. And, is encouraged to recommend production items to all public relations clients: development of company name, logo and stationary package, newsletters and videos of informational nature, production items that are of a sales nature must be forwarded to the appropriate Account Service Account Manager.

The Public Relations Account Executive reports to the Director of Public Relations, and is responsible for:

  • Preparing quarterly public relations plans and budgets for assigned clients. The plans should be updated on a regular basis to ensure goals are being met.
  • Obtaining approval from the Director of Public Relations for all public relations plans, creative work, media plans and estimates (if required) at appropriate stages prior to client presentation.
  • Briefing Public Relations support staff, Account Services and Media on current project activities and overseeing execution of approved programs.
  • Anticipating opportunities for existing clients.
  • Obtaining preliminary approval of billing to clients (final approval by Director of Public Relations).
  • Soliciting new business from assigned clients when possible.
  • Representing and promoting the agency at all industry functions.
  • Providing the Director of Public Relations with a month-end overview of client’s current activities, plans and future developments.
  • Informing the Director of Public Relations of any potential client problems (e.g. client/agency relations, budget problems, key personnel changes, etc.).
  • Reviewing meeting agenda with Director of Public Relations prior to client meetings.
  • Preparing meeting notes immediately following meetings, and a Status Report for all project and retainer clients. End-of-month Activities Report must be written to all clients, supplemented by Conference reports after each meeting or telephone conversation that warrants a detailed report. Distributed to concerned internal personnel.
  • Reviewing print, television and radio media daily, clipping or copying all client referenced video stories or articles. Client’s competitors and related industry news stories may be copied as well. Obtaining copies of clippings and TV/radio stories, news stories and sending immediately, either via fax or email.
  • Recording TV/radio news programs featuring client stories. A copy will be retained by the agency, the client is to be sent a digital copy.
  • The Public Relations Manager is a member of the Account Service Team (Account Manager, Marketing Director, Creative Director, Media Director, Director of Public Relations, Production Manager).
